This article serves as a reminder about our electronic mail policy, which can be accessed here.
I would particularly like to emphasize the final item in the policy regarding email signatures:
Use the following electronic signature information for purposes of Department-wide consistency, and in support of our HIPAA confidentiality requirements:
Include your name, address, area code + phone number, and email address in the signature line.
If logos or graphics are included in the signature line, confirm that they are county or department business-related. Do not include photos in the signature line. Ensure that any personal quotations are not offensive, political or religious in nature.
Always include this exact language at the bottom of the signature line, it demonstrates department commitment to protection confidentiality:
Notice of Privacy: this information is private and confidential and intended solely for the person or persons addressed herein. If you have received this communication in error, immediately notify sender and destroy/delete any copies of this transmission. Thank you for your compliance.
You can find several email signature templates in the document found here, which you are welcome to use if you’d like. They may look familiar to you as some of your colleagues (or maybe you!) are already using them. It is not required that you use one of these templates; we are providing them as a courtesy.
